Purpose
To execute all day-to-day administration and management activities with regards to Menzell Döhle Global Port Agency (MDGPA) Sub-Agency accounting and financial matters in a timely and effective manner.
To ensure timely Final Disbursement Accounts (FDA) are received by Sub-agents and MDGPA FDAs are timely sent to our principals and funds collected.
Interrelations
The position reports to the Senior Accountant/Finance Manager.
Formal authorities
A team member and focal point for all financial and accounting matters with our global sub-agency network and our principals who use our sub-agents.
Main responsibilities
- Receive the PDA from the sub-agents, if necessary adjust and send to principal
- Receive the FDA from the sub-agents, and if necessary adjust and send to principal
- Ensure the correctness of all PDA’s and FDA’s
- Keep track of activity done during port stay so that the correct FDA is raised
- Monitor the communication between sub-agents and owner/principal for financial related matters
- Accountable for SOA’s with sub-agents and principals
- Perform all related accounting data entry for our sub-agency activity into the MDGPA system
- Controlling the prefunding with the clients and ensuring that there are sufficient funds for payments at any point (when/where necessary)
- Reconciliation of the company’s accounts on a quarterly basis to ensure correctness of all entries
- Daily monitoring of debtors and regular follow up with clients for payments ensuring that there are no debts older than 30 days.
- Delivery of correct and accurate financial reports to MDGPA management
- Provide a weekly report to the Sub-Agency Manager regarding the weekly activity
- Seek continuous improvements in our financial results concerning sub-agency activity
- Maintain an excellent relationship with our sub-agents
- Keeps up to date with changes in the accounting legislation and reviews the operation of the department, proposing and, upon approval, implementing improvements in policies, procedures and guidelines
- Provides the external auditors with all requested information for a comprehensive and complete audit and cooperates during the audit for any assistance that might be needed. In addition, he/she provides internal auditors with all information requested
- Assists external accountants with all details required in regards to the income tax declaration and VAT declaration/claim
- Provides guidance and supervision to future assistant accounts executives
Accountabilities
Ensure that the financial and accounting procedures between MDGPA, our principals and sub-agents are adhered to, invoicing sent out swiftly and funds received on time
Main Qualifications
- Fluent in English speaking, reading and writing
- Preferably Degree/Diploma in Accounting
- Have a clean police conduct report
- At ease with the latest IT solutions and able to handle smart phone technology
- Ideally working experience within the shipping industry
- Strong management, interpersonal skills and customer relationship building skills
- Ease to communicate effectively and clearly
- Ability to multitask and work under pressure
- Strong attention to detail
- Reliable, enthusiastic and professional ATTITUDE
- Confident in relating to different organisational levels
- Ensure that all tasks are fulfilled and delivered on a timely manner even if tasks will be completed outside working hours.
